2020 Annual Conference: Meeting the Movement

SPEAKER TERMS & AGREEMENTS

Materials (optional)

All finalized handouts and/or presentation files are due by September 2, 2020. We are not able to accept new or updated presentations after that date. Please note, we will not be able to edit presentations under any circumstances. 

Please note that Southern California Grantmakers will make handouts and presentations available to members following the Annual Conference. Please credit your work accordingly; if you prefer that your materials not be made available, please let us know as soon as possible.

Large files should be submitted via Dropbox, Google Drive, or another file-sharing app.

 

PowerPoints

.ppt or .pptx format only (no PDFs!)

16:9 widescreen format only

 

Videos

Do not embed videos in PowerPoint presentations.

Submit videos in .mov or .mp4 format via Dropbox, Google Drive, or another file-sharing app.

 

Rehearsals

Unfortunately, we are not able to accommodate rehearsals in advance or on the day of the event since the conference will be virtual. A planning meeting will be scheduled prior to the conference date to discuss the session agenda, layout of the conference, and to go over technology.

 

Technology Requirements

To ensure uninterrupted video streaming during the event, please consider taking the following steps before the event date:

  • Upgrade your browser to the latest version. To check whether you are using the latest version of your browser, please click on this link.
  • Make sure that your set up (microphone, camera, space) is similar to what you had during your tech check.

 

Webinar Best Practices

  • Turn off or silence phone and email notifications
  • Close your inbox and other web browsers/apps (increases your bandwidth available for video streaming)
  • Look into the camera
  • Mute your microphone when you’re not talking
  • Speak up at a normal pace or more slowly if you speak fast
  • Note that all attendees will be on mute during the plenary and breakout sessions

 

Photography/Recording

The Speaker grants permission to Southern California Grantmakers to photograph, make a video and/or audiotape of the presentation. The speaker authorizes SCG to use their name, likeness, photograph, and biographical data in connection with the use and promotion of any aspect of the presentation. Southern California Grantmakers agrees to provide a gratis copy of all photos and video footage that contains the image of the speaker.

 

Indemnification and Hold Harmless Agreement

Speaker and Southern California Grantmakers shall defend, indemnify, and hold each other harmless, their directors, officers, employees, agents and members from and against any and all loss, expense, damage, claim, demand, judgment, fine, charge, lien liability, action, cause of action or proceedings of any kind whatsoever (whether arising on account of damage to or loss of property, or personal injury, emotional distress, or death) arising directly or indirectly in connection with the performance or activities of the Speaker hereunder, whether the same arises before or after completion of or expiration of this Agreement, except for damage, loss, or injury resulting from SCG’s sole negligence or willful misconduct.

 

Termination

This contract may be terminated by either party upon written notice.

This constitutes the entire agreement between the parties.
