POSITION OVERVIEW

The Program Assistant will work collaboratively with key program stakeholders to support Liberty Hill programs. In particular, the Program Assistant will provides administrative support for grantmaking, training, and coalition functions. The Program Assistant will coordinate event and workshop logistics and prepares materials; conduct research and prepare reports, correspondence and other related documents; rocesses grant applications and enter data into relevant database, and manage department financial documentation such as processing check requests from vendors.

PRIMARY RESPONSIBILITIES & ESSENTIAL FUNCTIONS

Primary areas of responsibility and tasks that may typically be assigned include but are not limited to:

WALLY MARKS LEADERSHIP INSTITUTE TRAINING PROGRAMS

  • Assist the Senior Program Manager with the coordination of the recruitment process for training programs
  • Attend and take notes in meetings with program consultant on curriculum development and track changed in program design.
  • Coordinate and support event planning and logistics for all trainings.
  • Compile training session evaluation results and conducts data entry.
  • Manage communications flow between program participants, consultants, and speaker, and the senior program manager.
  • Provide research and monitoring of placement and appointment opportunities on councils, board, commissions, etc.
  • Track consultant hours, prepares invoices and processes check requests.
  • Set up and maintains files including documents and reports from program participants.
  • Coordinate networking opportunities for program participants, as opportunities arise.
  • Engage in special projects as assigned.

GRANTMAKING

  • As needed given other staffing, provide support and/or training on grants administration.
  • With other Program staff, evaluate Fund for Change grant proposals.
  • Assist in developing landscape analyses for the Fund for Change.

GENERAL DEPARTMENTAL SUPPORT

  • Provides general administrative support to the entire program department, including coordinating key projects with the Youth Justice, Environmental Justice, and Housing Justice teams.
  • Supports programs, trainings, and public events, such as vendor coordination, check requests, and consultant payment.
  • Provides general administrative support including back-up reception coverage, office organization, photocopying, preparing correspondence and mailings, filing, scheduling, transcription and data entry.
  • Other duties as assigned, including administrative and supportive functions.

REQUIRED KNOWLEDGE & SKILLS

Knowledge of:

  • Professional correspondence creation using proper spelling, grammar and punctuation.

MINIMUM QUALIFICATIONS & REQUIREMENTS

  • Interest in and commitment to social justice issues.
  • Bachelor's degree or equivalent combination of education, training and experience.
  • Six months to 2 years of experience in administrative support. Experience in a nonprofit setting is preferred.
  • Computer proficiency in Windows operating system and MS Office software including Word, Excel, Access and Publisher. Ability to operate Internet applications and email as well as proprietary and external vendor programs including database software.

PHYSICAL REQUIREMENTS

  • Manual dexterity for operating a computer keyboard, printer, photocopier, etc.
  • Ability to sit at a desk or conference table for extended periods of time within an office environment.
  • Ability to lift up to 15 pounds.
